Before You Book – Important Notes

Choose the Right Service Type

Transfers

A Transfer is a one-way service from Point A to Point B. This option is ideal for:

  • Airport pickups or drop-offs
  • Dinner reservations
  • One-way hotel or event transportation

Hourly Charters

An Hourly Charter starts and ends at Point A, with standby time in between. This option is ideal for:

  • Events with multiple stops
  • Waiting service during events, meetings
  • Flexible return timing

Additional Charges

Included in Total Price

The total cost shown at checkout includes the following, though they won’t be itemized until your confirmation email:

  • 18% gratuity
  • Fuel charge
  • STC fee (Standard Transportation Charge)

You’ll receive a full cost breakdown in your email confirmation after booking.

For Airport Transportation:

In the pick-up or drop off location, please use the following:

SFO – for San Francisco International Airport
SMF – for Sacramento Airport
OAK – for Oakland Airport
STS – for Sonoma County Airport
APC – for Napa County Airport

For Vehicles Seating 16 to 56 Passengers:

  • A $300 deposit is charged at the time of booking.
  • The remaining balance is charged 14 days prior to the service date.
  • Deposits are fully refundable if canceled more than 30 days prior to the service date.
  • Within 30 days, all charges—including deposits—are non-refundable.
  • Any overtime incurred on the day of service will be billed to the credit card on file.

For Sedans, SUVs, & Vans (Up to 14 Passengers):

  • A $100 deposit is charged at the time of booking.
  • The remaining balance is charged 7 days prior to the service date.
  • Deposits are fully refundable if canceled more than 30 days prior to the service date.
  • Within 30 days, all charges—including deposits—are non-refundable.
  • Any overtime incurred on the day of service will be billed to the credit card on file.

  • Credit card charges will appear on your statement as California Wine Tours, Inc.
  • The cardholder is responsible for any damages or excessive cleaning caused by the group’s negligence.
  • All vehicles are non-smoking.
  • We reserve the right to refuse service or terminate a charter if policies are violated.
  • California Wine Tours is not responsible for lost or misplaced items.
  • Vehicle substitutions may be made at the company’s discretion.
  •  You will not be held to the terms until we reach out with a welcome call.

Charges You May See on Your Bill & What They Mean

SURFACE TRANSPORTATION CHARGE (STC)

STC is a surcharge based upon various overhead expense items, some of which may not relate to the specific trip. The STC is always calculated as a percentage of the base rate.

ADMIN FEE

The Admin fee is a surcharge based upon various overhead expenses that pertain to the administration of a reservation, some of which may not relate to the specific trip. The admin fee is always calculated as a percentage of the base rate.

FUEL SURCHARGE

The Fuel Surcharge is calculated based on the Energy Information Agency’s (EIA’s) published fuel pricing forecasts. Quoted amounts should reflect final fuel charge unless route has been changed or updated and additional out of area mileage applies.

AIRPORT TRANSFER

The charge for service between a commercial airport or FBO location and a predefined location. (POINT A – TO – POINT B) with no stops in between.

HOURLY CHARGE

The charge for “As-Directed” service when there is an itinerary involved or the chauffeur takes instructions from the customer; typically involves multiple stops. Overtime may apply and will be calculated in 15-minute increments.

POINT-TO-POINT TRANSFER

The charge for predefined transfer from the most frequently traveled routes in a given market, separate and aside from Airport Transfers, as defined above. (POINT A – TO – POINT B) with no stops in between.

BASE RATE

The rate charged for basic transportation services before any Gratuity, STC, Fuel Surcharge, Airport Fee, Driver Arrival Greet Fee, Parking, Admin Fee and Incidental Charges.

GARAGE-TO-GARAGE CALCULATIONS

Garage-to-Garage charges (Travel Time) are calculated by applying the applicable hourly rate commencing from the time the chauffeur departs the garage to begin service and continuing through such time the chauffeur concludes service and returns to the garage. The minimum number of billable hours appears in the estimate; however, the actual billable hours may exceed the minimum. CWT does not charge travel time to most areas in Napa and Sonoma Valley.

WAIT TIME – AIRPORT TRANSFER

Wait time is not charged for commercial flights unless customers choose to deviate from proceeding to the stated customer/chauffeur meeting location. In such instances, customers are permitted twenty (20) minutes of wait time after the scheduled pickup time. Wait time beyond twenty (20) minutes will result in charges equal to the transfer base rate plus the hourly rate prorated in fifteen (15) minute intervals.

WAIT TIME – POINT-TO-POINT TRANSFER

Customers are permitted twenty (10) minutes of wait time after the scheduled pickup time. Waiting time beyond twenty (10) minutes will result in charges equal to the transfer base rate plus the hourly charge prorated in fifteen (15) minute intervals.

EXTRA STOPS

Transfer or Airport reservations are from point A to point B. If a stop occurs along the route, not to exceed 15 minutes, the customer will be charged the transfer base rate plus the hourly rate for the vehicle in fifteen (15) minute intervals up to forty-five (45) minutes (rounded up) for the time that the chauffeur waits. If there is more than one stop, or if the one stop lasts more than thirty (30) minutes, then the trip will convert to an hourly rate, GARAGE – TO – GARAGE.
